Real Voyages Are Not Neat Workflows

On paper, a voyage can look deceptively simple: a vessel, cargo, loading port, and discharge port. In reality, voyages rarely stay that simple.

Cargoes can be split into parcels and grades. Port rotations can change. Schedules move. Additional port calls, transshipments, or subcontracted legs can enter the picture. Different cargoes can come with different contracts, freight structures, and laytime terms. A single vessel might be carrying multiple parcels for different charterers, with different load and discharge ports and different laytime terms. A project cargo operation can involve complex port rotations and specialised handling. A multipurpose vessel may be managing several cargoes within the same voyage.

This not unusual complexity, in shipping it is simply a day-to-day reality.

The Voyage is One Thing. Keeping Everything Connected is Another

Keeping all those details connected is more challenging than it sounds. When a voyage involves multiple cargoes, parcels, contracts, port calls, pricing arrangements, and cost allocations, teams need to see how any changes affect the voyage’s commercial position, operational plan, and financial result.

The voyage also looks different depending on who is looking at it:

  • Chartering needs to understand the commercial structure, commitments, freight, and contractual terms, and have confidence in the decisions being made.
  • Operations needs to manage the reality of the voyage as it unfolds, from cargoes and port calls to bunkers, schedules, and unexpected events.
  • Finance needs to track revenues, costs, accruals, and settlement to understand the financial position and eventual voyage result.
  • Management and reporting teams need to understand what all of this means for voyage and fleet performance.

These are different views of the same voyage. They shouldn’t require different versions of the truth.

When commercial, operational, and financial information stays connected, a change in one part of the voyage can be understood in context. Voyage changes should not have to be chased down across systems. Teams can see what has changed, understand the impact, and work from one operational picture instead of spending time reconciling information between systems and teams.

A connected voyage record gives each team the detail they need while keeping the wider picture in view. But it also needs to preserve the journey of the voyage itself, from the assumptions and agreements made before fixing, through to execution and the eventual result.

The Voyage Starts Before the Vessel Sails

The complexity of a voyage does not begin when the vessel sails. Some of the most important decisions are made before the voyage is fixed.

Before a voyage is fixed, chartering teams need to understand whether it works commercially. That means building and comparing estimates around the variables that shape the economics, from freight, hire, and bunkers to port costs, time, consumption, routing, and emissions. Teams need to be able to test different scenarios, compare expected earnings, and understand their exposure before making the commercial call.

Once the voyage is fixed, that commercial context should not be left behind. Charter party terms, cargo details, estimates, schedules, bunkers, and voyage costs all become part of the voyage as it moves into execution. The agreements and assumptions made during the commercial phase help shape how the voyage is operated and ultimately how its performance is measured.

The commercial picture should travel with the voyage. From estimating and planning through to execution and settlement, the information and assumptions that shape the voyage should stay connected. That gives teams a clearer line between what was expected, what was agreed, what actually happened, and what the voyage ultimately delivered.

Complexity Should Not Mean Losing Clarity

A voyage management system has to reflect the way voyages actually work. That means supporting multiple cargoes and parcels, different freight structures, multiple loading and discharge ports, different contractual and laytime terms, complex schedules, and detailed cost allocations.

But there is an important balance to strike. Teams need to be able to work within the detail without getting lost in it. They need to understand the individual cargo, port call, contract or cost, while still seeing how those pieces come together to shape the voyage result.

This includes being able to allocate stevedoring, handling, and other costs accurately across cargoes and trades, while maintaining a clear view of overall voyage P&L.

The detail matters because it helps teams understand how the voyage is performing, where costs are accumulating, and what is driving the result.
