Together, the two platforms enable port agencies to turn operational emails into structured workflows, connecting the inbox where work begins with the system where port calls are managed.
Port agency operations are driven by email. Every crew change, spare delivery, bunkering request, cash-to-master transaction and service instruction arrives as a message that must be read, understood and manually entered into an operational system before work can begin. That constant switching between inboxes and operational platforms slows execution, introduces opportunities for manual error and makes maintaining a complete operational record dependent on people rather than process.
The Sedna and PortPal integration removes that friction. PortPal is an enterprise SaaS platform built specifically for port agencies, bringing operational execution, communications, financial processes and port call data into one system with embedded AI. From within Sedna, users simply tag an email with the relevant PortPal job reference using their own naming convention, whether that's IMO – Vessel – Port, an internal job number or another operational structure. Emails or selected attachments can then be sent directly to PortPal, where AI extracts and structures operational information into the corresponding port call.
Shared metadata helps Sedna automatically identify and tag incoming communications, while bidirectional jump links connect both platforms so users can move seamlessly between the original email and the PortPal workflow without losing context. Emails generated in PortPal are returned to the existing Sedna conversation as drafts or ready-to-send messages, preserving the complete communication history.

When a Sedna email is tagged with the relevant PortPal job reference, operational information is automatically extracted into the corresponding PortPal port call. From there, teams can:

- Convert operational emails into structured workflows for crew changes, service requests, bunkering, CTMs and other port call activities
- Configure job references using their own operational conventions, including IMO – Vessel – Port or internal job numbers

- View related Sedna communications from within PortPal without maintaining duplicate email copies
- Generate HTML emails using PortPal data and return them to the existing Sedna conversation as drafts or ready-to-send messages
